Groups

This guide explains what a Group is, when to set one up, and how to create and manage groups in the platform. Groups are organizational labels that help you filter users. They do not affect permissions or access rights.

What Are Groups?

A Group is a label inside one sub‑account — for example, a course, a campus/location, or a department. Groups help you organize users by filtering lists.

Important: Groups do not change what anyone is allowed to see or do. They are purely organizational labels.

Navigate to Groups

  • From the sidebar, under Settings, select Groups.

  • The Groups page will display existing groups (or “No groups yet” if none are created).

  • Account admins, sub-account admins and instructors/staff all have access to creating Groups.


Create a New Group

  • Click New Group in the top‑right corner.

  • A pop‑up window will appear.

  1. Name Your Group

    • Enter a clear, descriptive name (e.g., Course 1, Fall Intake, Campus A).

    • Remember: A group belongs to one sub‑account and cannot be moved between accounts.

  2. Confirm Creation

    • Click Create to finalize.

    • The new group will now appear in your Groups list.


View Groups in the Students/Clients Tab

  • From the View Students/Clients tab, filter users by group using the Groups dropdown. This allows you to quickly see which students or clients belong to a specific area, course, location, or department.

  • In the Actions column of the student table, assign users to a group directly from the roster view without navigating back to the Groups page.

Action: Use the Groups filter to view members of a specific group, and assign students to groups using the Actions menu in the table.


Managing Groups

Once groups are created, you can manage them directly from the Groups page.

1. Edit or Rename a Group

  • Use the Actions menu (three dots) beside a group name to select Edit.

  • Renaming changes the label only — existing invite links remain valid with their original codes.

2. View Group Details

  • Click the hyperlinked group name to open the group dashboard.

  • The dashboard displays two tabs:

    • People – shows all members, their roles, status, sub‑account, assigned staff, and activity history.

    • Activity – provides a record of group engagement and usage.


3. Assign Users to Groups

  • From the View Students/Clients tab, use the Actions column in the student table to assign individuals to a group.

  • You can also filter by group using the Groups dropdown to quickly see which students belong to each group.


Best Practices

  • Use groups to keep courses, cohorts, or locations organized.

  • Choose clear, descriptive names (e.g., Fall Intake 2026, Location A, Alumni 2026).

  • Keep group labels consistent across sub‑accounts to simplify reporting.

  • Regularly review group membership to ensure students are organized correctly.

  • Remember: Groups are filters, not permissions — they help manage visibility but don’t control access rights.
