License Usage by Status

This guide explains how client account statuses in the platform affect license usage, clarifying which stages consume a license and which do not.

In the View Students / View Clients table, the Status column indicates whether a license has been allocated.


License Status:

Draft

  • Meaning: Account created, but the client has never been contacted or added to anything.

  • License Impact: ❌ Does not count toward user licenses.

Provisioned

  • Meaning: Account created and a license allocated, but no invite email or text has been sent yet.

  • License Impact: ✅ Counts as a license used (consumed once provisioned).

Activated

  • Meaning: The client has signed in or visited InStage.

  • License Impact: ✅ Still counts as a license used (remains tied to the activated account).

Archived

  • Meaning: The client is no longer active.

License Impact: ✅ License was used when the account was provisioned/activated. Archiving does not free up the license.
