Staff Guide for Creating A Mock Interview Assignment For Job Seekers

This guide shows you how to set up, manage and review Mock job Interview assignments in InStage.

A. Overview of the Mock Job Interview Assignment

The Mock Interview Assignment helps clients run through realistic, job-specific mock interviews that respond in real time. The Voice AI adapts to clients' answers and remembers prior responses to generate natural follow-up questions.

There are three structured components to the Mock Interview Assignment, which include:

  1. Screening: Job Seekers share their backgrounds and job motivations.

  2. Middle Round(s): Job Seekers share their experience with the job posting and answer situational questions.

  3. Final: Job Seekers share their values and commitment to the job posting.

This assignment is best used for:

  • Mock interview practice with clients who may feel anxious or need structured repetition. Employment centre programs that require repeatable practice before job placement or certification


B. Steps to Create a Mock Interview Assignment

1. Start from Home

2. Create Assignment

  • From the Home page, click Create Assignment.

  • You can also use the left-hand sidebar to access Create Assignment directly.

  • On the Create Assignment screen, select Mock Interview to begin setting up your assignment.

3. Configure Mock Interview Assignment

Section 1: Create Mock Interview Assignment

1. Enter Assignment Name

  • Enter a clear, descriptive name (e.g., Mock Interview Assignment).

  • This is a required field.

2. Enter a Description

  • Provide a short description that appears in the client’s enrolment email and on their start page.

  • Example: This mock interview series simulates a full interview process. Clients will progress through multiple interview stages. This structured approach helps job seekers develop their interviewing skills and confidence.

  • This is a required field.

3. Job Position

  • Select Who chooses the job:

    • Job Seekers choose - each enters their target job.

    • You choose - a sample job for all clients.

4. Assignment Due Dates

  • Choose a due date format:

    • Fixed Due Dates: Set specific availability and due dates

    • Rolling Due Dates: Dates adjust based on when clients are added to the assignment.

5. Screening Interview

  • The Screening Interview is a first-round interview to get to know the interviewee.

    • Enter:

      • Available Date (when client can begin)

      • Due Date (final submission deadline)

    • EXAMPLE:

      • Screening Interview Call → Available: Feb 9, Due: Feb 16

  • Select a preset question order that is available to be modified:

    • The screening question set will include a combination of questions covering Opening, Background, Motivation, Cultural Fit, and Closing.

    • The Standard Balanced Varied question covers a combination of questions, including an Opening, Behavioural, Technical, Situational, Cultural Fit, and Closing.

Considerations:

  • You may remove irrelevant questions, reorder for clarity, or add new ones as needed.

6. Middle Interview(s)

  • The Middle Round Interview(s) will probe the clients to go more in-depth in their conversation about the job posting.

    • Enter:

      • Available Date (when clients can begin).

      • Due Date (final submission deadline).

  • Important Note: You can add another Middle Interview Call based on the total number of Middle Interview Calls you would like your client to experience.

    • EXAMPLE:

      • Middle Interviews(s)→ Available: Feb 16, Due: Feb 23

  • Select a preset question order that is available to be modified:

    • Standard - a balanced mix of different question types

    • Technical - a heavy emphasis on technical skills assessment

    • Behavioural - a focus on behavioural and cultural assessment

    • Final - a cultural fit and motivation assessment

7. Final Interview

  • The Final Interview is the final round of the interview process.

    • Enter:

      • Available Date (when clients can begin)

      • Due Date (final submission deadline)

    • EXAMPLE:

      • Wrap-Up call→ Available: Feb 23, Due: Mar 2

  • Select a preset question order that is available to be modified:

    • Standard - a balanced mix of different question types

    • Technical - a heavy emphasis on technical skills assessment

    • Behavioural - a focus on behavioural and cultural assessment

    • Final - a cultural fit and motivation assessment

At any point during the assignment creation, you can navigate to the bottom of the screen and click Back, Save Draft or Next to move forward.


After completing the Interview Details and Dates, click Next. You’ll then configure the Assignment details.


Section 2: Advanced Options

Configure additional options for your assignment creation, such as:

1. Grading

  • Select how you want this assignment to be graded.

    • No Grading

    • Pass or Fail (with an option to show or hide the results to clients)

2. Report Content

  • Choose what information to include in reports:

    • Include Client Name and Email (important to include for reporting and completion purposes)

      • Include Transcript

      • Include Audio

3. Add Clients Now (optional)

  • You can add clients at any time after the assignment is deployed.

    • Enter client emails individually, or upload a CSV file with email addresses.

    • Add Groups to organize clients into sections or batches.

  • If you add 2+ groups, clients will be prompted to select their group when joining the assignment.

4. Add Administrators Now (optional)

  • You can add administrators at any time after the assignment is deployed.

    • Enter administrator emails individually, or upload a CSV file with email addresses.

5. Client Notifications & Summaries

Choose which automated messages and summaries clients receive:

  • Automatic Notification:

    • Enrollment notification email (sent by default)

  • Optional Notifications:

    • Availability window open notification

    • 24-hour reminder email (This is recommended to be selected)

  • Due date reminder email

These optional notifications help reduce missed deadlines and keep clients informed throughout the assignment window.

  • Session Summaries: show previous call summaries (This is recommended to be selected to help see previous call information and progression)

6. Admin Report Options

  • Customize how and when you receive aggregated reports:

    • Report Frequency:

      • Send a report 24 hours after each due date (This is recommended to be selected)

      • Send a report only after the final due date.

      • Do not send email reports.

    • Select additional email items, such as:

      • Link to admin summary.

      • Include a PDF summary in the email.

    • Noteworthy Comments

      • Email assignment employment specialists if a client statement, comment, or question is labelled high priority.

After completing all setup fields, click Next to reach the Review stage. This is your final checkpoint before launching the assignment.


Section 3: Review Details & Deploy Assignment

  • You’ll see a summary of everything entered:

    1. Dates (availability and due dates)

    2. Assignment Details (name, description, groups, grading)

    3. Report Content (client info included in reports)

    4. Client Notifications & Summaries (emails and reminders)

    5. Admin Report Options (frequency and format of reports)

  • If you need to make changes, click Back to return to the relevant section.

  • If everything looks correct, click Deploy to launch the assignment.

⚠️ Important: Once you click Deploy, you will not be able to make any further changes to the assignment. Double‑check all details before finalizing.


C. Share Assignment / Add Client and Staff Members

  • Once the Assignment has been created, you have two options for including Clients in the assignment.

    • Option 1: Share a direct link for Clients to join the assignment.

    • Option 2: Add Clients (if you skipped this step in the Advanced Options).

  • Client will automatically receive notifications based on your chosen settings.

  • Add additional staff members (if you skipped this step in the Advanced Options).

  • Upload a CSV file.

  • Share a unique enrolment link (also available after the assignment has been deployed).
